CASE STUDY

GOAL

Fulton Hogan, a leading construction company, aimed to replace their cumbersome data spreadsheets with a live project management platform. The goal was to enhance resource management, equipment tracking, and product scheduling.

CHALLENGE

Managing road construction activities requires flexibility due to last-minute changes caused by weather and road conditions. To stay up-to-date with availability, capacity, and changes, a live planning system was necessary. The system needed to provide real-time data, send notifications, calculate quantities, and instantly check equipment availability against the database.

OBJECTIVE

The objectives were to increase transparency across annual, quarterly, monthly, and weekly schedules and streamline key workflows in a centralized location. The required functions were as follows:

  • Creating new job entries and assigning shifts to jobs

  • Viewing, editing, and changing the status of shifts while maintaining a change log and sending automated notifications to all parties involved

  • Allocating resources based on up-to-date capacity and staff availability, identifying gaps, over-allocations, and potential issues as early as possible

  • Admin site management to maintain a live and accurate inventory

RESEARCH METHOD

To develop a successful solution, a combination of quantitative and qualitative research methods were employed:

  • Stakeholder interviews

  • Problem discovery workshops to develop priority matrix, task analysis and persona

  • Competitor analysis

  • User interviews to gain insights into user needs and pain points

  • Affinity mapping to organize research findings

  • Usability testing (moderated and unmoderated) to evaluate prototype iterations

  • Heatmap analysis to visualize user interactions

  • Expert review to ensure best practices were followed

  • Market analysis to understand industry trends

  • Customer journey mapping to identify key touchpoints and pain points

SOLUTION

We have designed an end-to-end planning and project management app that offers a comprehensive set of capabilities for both users and administrators. The app provides a seamless experience for project management, enhancing efficiency and productivity. Here are the key features of the app:

User dashboard

  • Comprehensive Project Management: The app enables users to access and edit project details such as project status, assigned teams, team leaders, contractors, required equipment, supplies, road and traffic plans, location maps, permissions, and a history log. This allows for centralized and streamlined project information management.

  • Flexible Scheduling: Users can create weekly, monthly, and quarterly schedules with intuitive filters based on teams and projects. This helps in effectively managing project timelines and deadlines.

  • Shift Scheduling: The app includes a dedicated tool for managing team shifts, making it easier to schedule and track team members' availability and workload.

  • Team Member Database: Users can maintain a comprehensive database of team members, storing relevant information such as contact details, skills, and qualifications. This facilitates efficient team collaboration and resource allocation.

Admin dashboard

  • Database Management: Administrators have access to a robust database management tool, which allows them to efficiently organize and manage project data. This ensures data integrity and easy retrieval when needed.

  • Reporting and Analysis: The app provides a dedicated reporting and analysis tool for administrators to monitor project progress and evaluate velocity. This feature offers valuable insights into project performance and enables data-driven decision-making.

By incorporating these features, our app optimizes project management processes, fosters effective communication and collaboration, and enhances overall project efficiency. It empowers both users and administrators with the necessary tools to successfully plan, execute, and track projects.

DELIVERABLE

The following deliverables were produced during the project: personas representing different user types, information architecture and site map for intuitive navigation, wireframes showcasing the layout and structure of the application, user stories to capture user requirements and scenarios, hi-fidelity clickable prototype for realistic interaction testing, style guide for maintaining visual consistency, design libraries, systems, and toolkit for efficient design implementation.

RESULT

With astounding key metrics, such as a staggering 98% task success rate and an incredibly low error rate of just 1%, our solution has redefined industry standards.

​

Not only that, but users have witnessed a significant decrease in time on task, completing their activities a remarkable 50% faster. This exceptional efficiency enhancement has propelled productivity to unprecedented levels, saving valuable time and resources.

Qualitative user feedback has been overwhelmingly positive, with users expressing immense satisfaction with the app's ability to enhance efficiency, increase transparency, and streamline workflows. They applaud the real-time updates, automated notifications, and precise resource allocation that our comprehensive solution delivers.
